Day-of escalation tree
- Medical event (allergic reaction, breathing, fall): Call 000 first. Mandy or Metia stays with the participant. Lukas calls primary contact + DAS office. Document on incident form within 24 hours.
- Behavioural distress / walkout: Mandy or Metia follows after a beat. Quiet check-in outside the room. If escalation needed, call primary contact. Don't return participant to room without consent.
- Transport no-show (Keyanna): Call KP Services 0403 574 249. If unreachable, call Wil Boaza at CoLab. Don't wait past 11:15 — get session moving and update Keyanna by phone when transport sorted.
- Photo without consent risk: If anyone in the room photographs a participant whose form isn't signed, ask politely for the photo to be deleted. Note in debrief.
- Critical incident (any safety issue you can't handle alone): Lukas mobile 0409 924 058. If unreachable, DAS office (08) 8953 1422.

What we keep vs hold over
What we keep
- This is an EXPANSION, not a compression - M12 was a 30-50 min woven slot, recomposed to fill the 2hr standalone slot the schedule books
- Full intro deck (slides 1-3) + Mandy-goes-first (slide 4) - the 'first time woven' full treatment, since this is the first and only time
- Bingo arc complete and uncut: set-up → co-fac-chaired mock meeting → Bingo + debrief → try-it-yourself pair chairs
- Chair prompt arc complete and uncut: walk the six → pair practice → whole-cohort wrap
- Co-fac-chaired mock meeting protected as the centrepiece - the deliberate PWID-accessible-chairing design, with Metia as the rambling participant
- Week-9 PATH-Plan-day prep variant folded into the back half - card 2 / card 6 / card 3 named for plan days, each participant picks their card
- End-of-program close built from M12's own devices: master prompt 13 (finish with an appreciation), slide 7 co-fac close, individual by-name thank-yous at the door
Held over to next session
- The multi-week weaving structure itself - Bingo round 1 (Week 6) / round 2 + prompts (Week 8) / plan-day prep (Week 9) all collapse into one block; the repeat-week 3-slide deck cut is never used
- 'Pivot back to host module' segment - there is no host module; the slot bridges to lunch and the close instead
- Slide 3 vote's scheduling function (picking which week gets which sub-topic) - repurposed as an energy read since both halves run today
- 'Use one in a real meeting before next session' homework - no next session; retargeted to the individual PATH Plan day
- 'We'll come back to meetings in [next M12 slot]' wrap-up line - dropped; replaced by the plan-day bridge
- Participant chair turns with the master sheet as a Week 8/9 standalone round - the pair-chairs round carries it in miniature today
- Easy Read / remote-community / small-cohort variants - not run, but in the kit if the room needs them on the day (2 cards instead of 4, 4 prompts instead of 6, whole-cohort circle instead of pairs)
Materials needed
- Laptop + projector with M12 intro deck (7 slides) + ported S8 open/housekeeping/lunch slides preloaded - do not depend on cloud (but the day survives without AV)
- 12× Leadership Bingo participant cards (3 each of cards 1-4) + 2 spare - single-use take-home
- 2× Chairing Meeting Bingo Master sheets - laminated, chair + spare, collected for reuse
- Participants bring their own chair prompt + speaking-up cards (made in S7); a few spare blank cards on hand for own-words versions (pending review — CRR-023)
- 12× take-home folders (Bingo card + chair prompt set go in at the close)
- Flipchart with the mock-meeting agenda pre-written (3-5 low-stakes items: welcome · lunch on PATH Plan day · cohort photo · end-of-program celebration)
- Water on the meeting table for participants (source-specified - it's a real meeting)
- Traffic light cards - cohort's own sets at each seat (the chair will prompt their use - Bingo prompt 10)
- Group Agreement poster (from S1) on the wall - final outing
- Butcher's paper, blu-tac, pens, fat markers, name labels
- Per-session (traffic light) feedback forms × 12 + SW feedback forms × 6
- Camera (only with Photo Permission Form consent - cohort photo is on the mock agenda, consent still applies)
- Catering for ~12:00 per dietary requirements - confirmed headcount day-before
- First aid kit
- M9_W4 End-of-Program Reflection sheets — 1 per participant (relocated from S6)
Participant flags + needs are on the Emergency contacts and Run sheet (facilitator-only) — kept off the agenda to keep this one scannable.
